ConnectVion is a product of BWJ Tech Solutions Private Limited ("BWJ Tech", "we", "our", or "us"), a company incorporated under the laws of India. ConnectVion is a multi-channel communication platform that enables businesses to manage contacts and run campaigns across Email, SMS, and WhatsApp. We are committed to protecting the privacy of our users and the contacts they manage through our platform. This Privacy Policy describes how we collect, use, store, disclose, and protect information in connection with your use of the ConnectVion platform.

By accessing or using ConnectVion, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use of our platform.

1. Information We Collect
1.1 Account & User Information

When you register and use ConnectVion, we collect:

  • Name, email address, and mobile number
  • Profile picture (optional, user-uploaded)
  • Login credentials or authentication tokens (Google/Microsoft Sign-In, OTP)
  • Enterprise name and logo
1.2 Contact Data

As part of the platform's Contact Management features, you may upload, create, or import:

  • Contact names, email addresses, and mobile numbers
  • Category and tag assignments
  • Communication history logs per contact
  • Data imported via Excel or CSV files

You, as the data controller, are responsible for ensuring that the contact data you upload and process through ConnectVion complies with applicable privacy laws, including obtaining necessary consents from your contacts.

1.3 Campaign & Communication Data

We collect data related to your use of the Campaign Engine, including:

  • Campaign names, configurations, and schedules
  • Message templates (Email, SMS, WhatsApp)
  • Delivery statuses (sent, failed, pending) and timestamps
  • Error details and communication job logs
  • CC email addresses and sender configurations
1.4 Media & Uploaded Files

Files uploaded to the Media Gallery (images, videos, PDFs, documents, spreadsheets, and archives up to 20MB each) are stored on our servers and may be used as WhatsApp template headers or email attachments.

1.5 Technical & Usage Data

We automatically collect technical information when you use the platform:

  • IP address, browser type, and device information
  • Log data and access timestamps
  • Feature usage patterns and session information
  • Audit logs tracking changes to campaigns and enterprise settings (who changed what and when)
1.6 Support Data

When you submit a support ticket, we collect the subject, message content, and any file attachments you include.

2. How We Use Your Information

We use the information we collect for the following purposes:

  • Providing and operating the ConnectVion platform and its features
  • Authenticating users via OTP, Google Sign-In, or Microsoft Sign-In
  • Enabling contact management, campaign creation, and multi-channel message delivery
  • Generating performance dashboards and communication analytics
  • Maintaining audit logs for accountability and compliance
  • Processing and delivering messages through Email, SMS, and WhatsApp channels
  • Facilitating WhatsApp Business template submission and approval tracking
  • Providing customer support and resolving tickets
  • Sending app update notifications and changelogs
  • Detecting and preventing duplicate contacts and fraudulent activity
  • Improving platform performance, reliability, and features
3. Legal Basis for Processing

Depending on your jurisdiction, we process personal data under one or more of the following legal bases:

  • Contractual necessity — to provide the services you have agreed to use
  • Legitimate interests — to improve our platform, maintain security, and prevent abuse
  • Legal obligation — to comply with applicable laws and regulatory requirements
  • Consent — where you or your contacts have provided explicit consent for processing
4. Data Sharing and Disclosure
4.1 Third-Party Channel Providers

To deliver messages through Email, SMS, and WhatsApp, we transmit relevant data to third-party providers:

  • Email service providers (configured via your mail server credentials)
  • SMS providers (configured via your provider credentials and sender ID)
  • Meta (WhatsApp Business API) for WhatsApp message delivery and template management

These providers have their own privacy policies and data processing terms. We recommend reviewing Meta's Privacy Policy at facebook.com/privacy/policy for WhatsApp-related data processing.

4.2 Service Providers

We may engage trusted third-party service providers for hosting, infrastructure, analytics, and security. These providers are contractually obligated to process data only as instructed by us and to maintain appropriate security standards.

4.3 Legal Requirements

We may disclose your information if required to do so by law, court order, regulatory authority, or in response to valid legal processes, or to protect the rights, property, or safety of ConnectVion, our users, or the public.

4.4 Business Transfers

In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and the choices you may have.

4.5 No Sale of Personal Data

We do not sell, rent, or trade your personal information or your contacts' personal information to third parties for marketing purposes.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Specifically:

  • Account and user profile data is retained for the duration of your account and a reasonable period thereafter
  • Contact data, campaign data, and communication logs are retained as long as you maintain them in the platform
  • Audit logs are retained in accordance with applicable legal and compliance requirements
  • Support tickets and associated files are retained until resolution and for a reasonable period afterward
  • Suspended (blocklisted) email addresses are retained to prevent repeated delivery attempts

You may request deletion of your account and associated data by contacting us. Certain data may be retained to meet legal obligations or resolve disputes.

6. Data Security

We implement industry-standard technical and organizational security measures to protect your data against unauthorized access, alteration, disclosure, or destruction. These include:

  • Encrypted transmission of data (TLS/HTTPS)
  • Access controls and role-based permissions
  • Audit logging for changes to sensitive configurations
  • Secure storage of credentials and authentication tokens
  • Redirect Mode for safely routing messages to test addresses during setup

While we take reasonable precautions, no method of transmission over the internet or electronic storage is 100% secure. We encourage you to use strong, unique passwords and keep your credentials confidential.

7. Cookies and Tracking

ConnectVion may use cookies and similar tracking technologies to maintain user sessions, remember preferences, and analyze platform usage. You can control cookie settings through your browser; however, disabling certain cookies may affect platform functionality.

8. Your Rights and Choices

Depending on your location and applicable law, you may have the following rights regarding your personal data:

  • Access — Request a copy of the personal data we hold about you
  • Correction — Request correction of inaccurate or incomplete data
  • Deletion — Request deletion of your personal data, subject to legal obligations
  • Portability — Request that your data be provided in a structured, machine-readable format
  • Objection — Object to certain types of data processing
  • Restriction — Request restriction of processing in certain circumstances
  • Withdrawal of Consent — Where processing is based on consent, withdraw it at any time

9. Contact Data — Your Responsibilities

ConnectVion is a data processor for the contact data you upload and manage. You, as the data controller, are solely responsible for:

  • Ensuring you have the legal right to collect and process your contacts' personal data
  • Obtaining necessary consents from your contacts for marketing communications
  • Honoring opt-out and unsubscribe requests from your contacts
  • Complying with applicable laws such as GDPR, CAN-SPAM, TCPA, TRAI regulations, and WhatsApp's Business Policy

ConnectVion's Unsubscriber List feature helps you manage email blocklists; however, compliance with anti-spam laws remains your responsibility.

10. Compliance with the Digital Personal Data Protection Act, 2023 (India)

ConnectVion is committed to compliance with the Digital Personal Data Protection Act, 2023 ("DPDP Act"), which governs the processing of digital personal data of individuals ("Data Principals") in India.

10.1 Roles Under the DPDP Act

ConnectVion acts as a Data Fiduciary when it determines the purpose and means of processing your account and usage data. When processing contact data uploaded by you (the enterprise user), ConnectVion acts as a Data Processor on your behalf, and you are the Data Fiduciary responsible for that data.

10.2 Lawful Basis — Consent and Legitimate Uses

Under the DPDP Act, we process personal data only on the basis of:

  • Free, specific, informed, and unambiguous Consent of the Data Principal, obtained before processing
  • Legitimate Uses as permitted under the DPDP Act, including processing necessary for the performance of a contract, compliance with legal obligations, or responding to medical emergencies

Where we rely on consent, you (or your contacts) may withdraw consent at any time. Withdrawal will not affect the lawfulness of processing carried out prior to withdrawal.

10.3 Rights of Data Principals

If you are a Data Principal under the DPDP Act, you have the following rights:

  • Right to Access — Obtain a summary of personal data being processed and the processing activities undertaken by us
  • Right to Correction and Erasure — Request correction of inaccurate or incomplete data, and request erasure of personal data that is no longer necessary for the stated purpose
  • Right to Grievance Redressal — Have your grievances addressed by our designated Grievance Officer within the timelines prescribed under the DPDP Act
  • Right to Nominate — Nominate another individual to exercise your rights in the event of your death or incapacity

10.4 Notice to Data Principals

Where ConnectVion collects personal data directly from Data Principals, we provide a clear and plain-language notice describing: the personal data being collected, the purpose of processing, the manner in which consent may be withdrawn, and how to exercise rights under the DPDP Act.

10.5 Data Localisation

ConnectVion processes and stores personal data of Indian Data Principals in accordance with applicable data localisation requirements as notified by the Government of India from time to time. Where data is transferred outside India, such transfers are carried out only to countries or territories notified as permitted under the DPDP Act.

10.6 Data Fiduciary Obligations (Enterprise Users)

As a Data Fiduciary processing your contacts' personal data through ConnectVion, you are responsible for:

  • Obtaining valid consent from your Data Principals before uploading or communicating with them through ConnectVion
  • Providing appropriate notice to your contacts about their data being used for campaigns
  • Honouring erasure and correction requests from your contacts in a timely manner
  • Ensuring that personal data is used only for the specified, lawful purpose for which it was collected
  • Implementing reasonable security safeguards in your use of the platform
10.7 Security Safeguards

In accordance with Section 8(5) of the DPDP Act, ConnectVion implements reasonable security safeguards to prevent personal data breaches, including encryption, access controls, and audit logging. In the event of a personal data breach that is likely to adversely affect Data Principals, we will notify the Data Protection Board of India and affected individuals as required by law.

10.8 Grievance Officer

In accordance with the DPDP Act, ConnectVion has designated a Grievance Officer for addressing grievances of Data Principals. You may contact the Grievance Officer at:

Response Time: We endeavour to acknowledge grievances within 48 hours and resolve them within the timelines prescribed under the DPDP Act.

11. Children's Privacy

ConnectVion is not directed at or intended for individuals under the age of 18. Under the DPDP Act, personal data of children (individuals below 18 years) may only be processed with verifiable parental or guardian consent. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data without appropriate consent, please contact us and we will take steps to delete such information promptly.

12. International Data Transfers

Your data may be processed and stored in countries other than your country of residence. Where data is transferred across borders, we ensure appropriate safeguards are in place, such as standard contractual clauses or equivalent mechanisms, to protect your personal data in accordance with applicable laws.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we do, we will update the Effective Date at the top of this document. Significant changes may also be communicated through the ConnectVion App Updates changelog visible within the platform. Your continued use of ConnectVion after any update constitutes your acceptance of the revised policy.
